Terms and Conditions of Hire & Events The Mad Hatters Emporium

1. Definitions
1.1 "Hirer" means the person(s) booking and responsible for payment and care of the hired items.
1.2 "Equipment" means all teepees, mattresses, bedding, décor, accessories, and any other items supplied by The Mad Hatters Emporium.
1.3 "Event Date" means the agreed date(s) for the hire period.
1.4 "We/Us/Our" means The Mad Hatters Emporium.
2. Booking and Payment
2.1 A non-refundable deposit of $50.00 is required to secure your booking.
2.2 The remaining balance must be paid in full no later than 7 days prior to the Event Date.
2.3 Bookings are only confirmed upon receipt of the deposit.
3. Cancellations and Refunds
3.1 The deposit is non-refundable under all circumstances.
3.2 Cancellations made more than 30 days before the Event Date will not incur further charges.
3.3 Cancellations made within 14 days of the Event Date will be charged 50% of the total booking fee.
3.4 Cancellations made within 7 days of the Event Date will be charged the full amount of the booking.
3.5 In the unlikely event we must cancel, all amounts paid will be refunded in full.
4. Set-Up and Pack-Down
4.1 The Hirer must ensure the event location is clean, safe, and clear for set-up.
4.2 Access to the event location must be available at the agreed times for set-up and pack-down.
4.3 Teepees are for indoor use only, unless otherwise agreed in writing.
5. Responsibilities of the Hirer
5.1 The Hirer accepts full responsibility for the Equipment from the time of delivery until collection.
5.2 Any loss, damage, or excessive cleaning will be charged at replacement or repair cost.
5.3 The Hirer must ensure all Equipment is returned in the same condition as supplied.
6. Safety, Hygiene and Comfort
6.1 All Equipment is for decorative and recreational use only.
6.2 No open flames, candles, heaters, or smoking are permitted near the Equipment.
6.3 The Hirer must ensure adult supervision is provided at all times.
6.4 For hygiene reasons, guests must supply their own sleeping pillow. We supply the mattress, fitted sheet, blanket, and decorative cushions only.
6.5 We accept no responsibility for injury or accidents occurring during the hire period.
7. Cleaning
7.1 Food and drink should be kept away from bedding to prevent staining.
7.2 Additional cleaning fees may apply if Equipment is returned in a soiled condition.
8. Illness and COVID-19 Policy
8.1 If any guest is unwell, the Hirer must notify us immediately to discuss rescheduling.
8.2 We reserve the right to refuse service if the environment is unsafe for our staff.
9. Photography
9.1 With the Hirer’s consent, photographs of the event setup may be taken for promotional purposes.
9.2 No images containing guests will be used without express permission.
10. Liability
10.1 To the maximum extent permitted by law, The Mad Hatters Emporium accepts no responsibility for:
a) Injury to persons;
b) Damage to property;
c) Loss arising from the use of our Equipment during the hire period.
10.2 These Terms and Conditions are governed by the laws of Victoria, Australia, and any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
By paying the deposit, the Hirer confirms they have read, understood, and agreed to these Terms and Conditions in full.
